JBMOnboard360 / Resources / WhatsApp CRM for clinics

WhatsApp CRM, India

A WhatsApp CRM that sits inside your clinic software, not next to it.

Most WhatsApp CRMs in India are messaging tools with a contact list. JBMOnboard360 puts WhatsApp next to the things a clinic or salon actually runs on: appointments, client records, packages, invoices and follow-ups. An AI assistant answers enquiries from your own answers, every chat becomes a lead, and reminders and opt-in broadcasts go out from the same place.

The short answer

What a WhatsApp CRM is, and why clinics outgrow the WhatsApp Business app

In India, WhatsApp is where enquiries arrive. A patient sees your Instagram post, taps the WhatsApp button and asks, "What is the fee for a consultation? Are you open Sunday?" With the free WhatsApp Business app, that message lands on one phone. Whoever holds the phone answers when they can, and once the conversation scrolls away there is no record of who asked, what they wanted or whether anyone called them back.

A WhatsApp CRM connects your WhatsApp Business Platform number to a shared system, so every conversation becomes a record your team can see, assign and follow up. The difference for a clinic or salon is what that record is attached to. In a standalone WhatsApp tool, the lead is a phone number with tags. In JBMOnboard360 the same person becomes a client with appointments, intake forms, case sheets, packages and invoices, so the front desk knows whether this is a new enquiry or a regular asking about her next session.

Signs you need one

  • Enquiries arrive on two or three staff phones and nobody knows who replied.
  • Messages that come in after 8 pm wait until the next morning, and some never get an answer.
  • You copy names and numbers from WhatsApp into a spreadsheet or register to follow up.
  • Reminders for tomorrow's appointments are typed one by one.
  • You want to send an offer to past clients, but you don't know who agreed to receive messages.

What it does

WhatsApp features in JBMOnboard360

AI replies from your answers

The WhatsApp assistant replies to incoming messages using a knowledge base you write: services, starting prices, timings, branch address, parking, what to bring. If the answer isn't there, it doesn't invent one.

Shared WhatsApp inbox

Your team sees every conversation in one inbox inside JBMOnboard360, replies from the desktop and picks up where the AI left off.

Every chat becomes a lead

New numbers are saved as leads with the conversation attached, so they appear in the lead list with follow-up reminders.

Reminders and after-visit messages

Automations send approved template messages before an appointment and after a visit, so reminders stop depending on someone remembering.

Opt-in broadcasts

Send approved templates to a list, with an approval step before it goes out and clients who opted out skipped automatically.

Drip follow-ups

Leads who asked a question and went quiet get a follow-up sequence instead of being forgotten.

Before you buy

What you need, and what it costs on top

  • Your own WhatsApp Business Platform number. JBMOnboard360 connects to WhatsApp through Meta's Cloud API or through Twilio. Your provider or our team can tell you whether your existing number can be moved, and what changes for staff using the WhatsApp Business app on that number.
  • Meta's message charges are separate. Since 1 July 2025 Meta charges per delivered template message, and from 1 October 2026 service replies beyond 1,000 a month per number are charged too. Those charges are billed by Meta or your provider, not included in JBMOnboard360. Our WhatsApp API pricing guide explains the categories with rough India rates.
  • Opt-in for marketing. WhatsApp marketing is allowed in India, but Meta requires that people opt in to messages from your business, by name. Collect opt-in on your intake form or booking page and the broadcast tool will respect opt-outs.
  • No SMS. JBMOnboard360 sends WhatsApp and email. If many of your clients don't use WhatsApp, plan for that.
  • Keep clinical details off chat. Use WhatsApp for timings, fees and bookings. Ask for medical history through an intake form, which saves straight to the client record. See our DPDP guide for clinics.

If all you need is bulk campaigns and a chatbot, a dedicated WhatsApp tool may be cheaper. JBMOnboard360 makes sense when you'd otherwise pay for a WhatsApp tool and a clinic or salon system and stitch them together.

Questions

WhatsApp CRM questions

Can I keep using my current WhatsApp number?

Usually yes, but it has to be registered on the WhatsApp Business Platform (through Meta's Cloud API or Twilio). Check with us or your provider during setup what that means for anyone still using the WhatsApp Business app on that number; after the switch your team replies from the shared inbox.

Is WhatsApp marketing allowed in India?

Yes, as long as people have opted in to receive messages from your business and you follow Meta's policies. Marketing templates need Meta's approval and are charged per delivered message.

Does the AI reply to every message?

It replies from the knowledge base you write. When a question isn't covered, or the person wants a human, the conversation stays in the inbox for your team.

Are WhatsApp message charges included?

No. Meta's per-message charges are billed by Meta or your WhatsApp provider. JBMOnboard360's subscription covers the software.

Can it send SMS if a client doesn't have WhatsApp?

No. JBMOnboard360 sends WhatsApp and email messages only.

Where is the data stored?

JBMOnboard360's India platform is hosted in Mumbai on AWS (ap-south-1).
