JBMOnboard360 / Resources / Hair clinic software
Hair and trichology clinics
Hair clinic software built around the sitting schedule.
Hair treatments are sold as a course of sittings spread over months. The clinic earns when patients complete the course and loses when they drift off after sitting two. JBMOnboard360 tracks every sitting in a package, collects consent before each procedure, reminds patients on WhatsApp and turns ad enquiries into booked consultations.
How hair clinics actually run
The three places hair clinics leak
Talk to any hair clinic owner and the same three problems come up. None of them is about the treatment itself.
- Enquiries that go cold. Hair loss is an emotional search. People message several clinics late at night after seeing an ad. The clinic that answers first and follows up properly books the consultation.
- Courses that stop halfway. A plan of several sittings spaced weeks apart is easy to abandon. Without a list of who is due, nobody calls.
- Paperwork at the procedure. Consent for each procedure, a scalp history, photos for the clinical file and the bill all have to be done before the patient leaves. Paper slows the chair down.
JBMOnboard360 is designed around those three points.
What JBMOnboard360 does for a hair clinic
- Leads in one inbox. Enquiries from Meta lead ads, Google lead forms and WhatsApp land in a lead inbox with a follow-up date and a daily digest of who needs a call. The WhatsApp AI bot answers first questions from your knowledge base (consultation fee, timings, location) and hands over to your counsellor.
- Multi-sitting packages. Sell a course of sittings as a package. Each visit redeems one sitting, the balance shows on the patient record and the package can carry an expiry date.
- Consent with e-sign. Send a consent form by email link; the patient signs with a drawn or typed signature and the record keeps the time and IP address. Or have them fill a form on a tablet at reception via QR code.
- Case sheets and documents. General case-sheet templates for healthcare and beauty clinics, plus documents and session records on each patient. Store clinical photos in the patient's documents if your process allows it.
- Sitting cadence and reminders. Book the next sitting to repeat every N days, and let WhatsApp or email automations remind the patient beforehand.
- Products and consumables. Track products you sell, and deduct consumables per visit so stock levels stay honest.
- GST-ready billing. Invoices with your GSTIN, SAC codes and CGST/SGST or IGST when you're registered.

Marketing rules
Hair clinic advertising after the NMC's October 2026 guidelines
On 6 October 2026 the National Medical Commission issued guidelines on ethical advertising and public communication by doctors. As reported, they bar patient testimonials used for promotion, AI-generated testimonials or outcomes, and unverifiable claims such as "best", "No. 1" or "guaranteed results". Before-and-after images used to promote results are a common target of these rules in dermatology and hair practice.
For a hair clinic, that shifts the advantage to speed and follow-up rather than outcome claims. Answering every enquiry quickly, explaining the process honestly and making it easy to book the consultation are things you can do without promising anything. That is the part JBMOnboard360 helps with. Read the guidelines yourself and take advice if your clinic is doctor-led.
GST on hair treatments
GST treatment depends on whether a service is health care or cosmetic. Health care services by clinical establishments are exempt, but the exemption excludes cosmetic or plastic surgery unless it restores function or corrects a defect. Hair products are taxable goods. Many hair clinics end up issuing both bills of supply and tax invoices. Our GST billing guide for clinics walks through it; your chartered accountant should confirm how your services are classified.
Pricing
₹1,999 per user per month billed annually, plus 18% GST, or ₹2,499 per user per month billed monthly. A clinic with a counsellor, a front-desk user and one doctor logging in pays for three users. 7-day free trial, no card.
Questions
Hair clinic software questions
Can I track how many sittings a patient has left?
Yes. Sell the course as a package; each visit redeems one sitting and the balance shows on the patient record. Packages can have an expiry date.
Can patients sign consent forms digitally?
Yes. You can send a consent form by email link for a drawn or typed signature, with the signing time and IP address recorded, or collect a form at reception through a QR code.
Does it include trichoscopy or hair analysis tools?
No. JBMOnboard360 has no image analysis. Keep your trichoscopy device's software for that and store reports in the patient's documents.
Can it collect Google reviews or show before-and-after photos?
No. It doesn't publish reviews or galleries. Doctor-led clinics should also note the NMC's October 2026 limits on testimonials and outcome claims.
Does it work across branches?
Yes. Each branch runs its own calendar and leads, and the owner switches between branches from one login. There is no single combined report across branches yet. See multi-branch clinic software.
