Online appointment booking
A booking link for your clinic, with you still in control of the diary.
Put one link in your Instagram bio, Google Business Profile and WhatsApp replies. Clients choose a service and a slot; the request waits for your front desk to approve; approved bookings land on the calendar with the client record created, chair clashes blocked and WhatsApp reminders scheduled.
Why approval matters
Instant booking or request-and-approve?
Booking software comes in two styles. Instant booking confirms the slot the moment the client picks it, which suits a barber with simple 30-minute cuts. Request-and-approve lets the client choose a slot, then your team confirms it. Many Indian clinics prefer the second: a physiotherapist wants to know whether it's a new patient or a follow-up, a skin clinic needs to check the right doctor and room, and a spa needs to match a therapist.
JBMOnboard360 uses request-and-approve. Clients see the open slots and submit; the request appears in Booking requests; one click on approve creates the client (if new) and the appointment together. You never retype the details from WhatsApp into a register.
Step by step
From link to appointment
1. Share your booking link
Your organisation gets a public booking page. Add it to your Instagram bio, Google Business Profile, website and WhatsApp quick replies.
2. Client picks a slot
They choose from available time slots. A slot already taken can't be requested twice.
3. Your team approves
Requests wait in Booking requests. Approving creates the client and the appointment in one step.
4. Calendar and chairs
The appointment appears on the calendar. Rooms, chairs or beds are tracked as resources, and double-booking a resource is blocked.
5. Reminders go out
Automations send a WhatsApp template or email before the appointment and a message after the visit.
6. Visit, notes, invoice
On the day, intake forms, case sheets, package redemptions and the GST invoice are all attached to the same client.
The calendar
What the appointment calendar does
- Month view and day view. The day view shows lanes per chair or room, and you can drag an appointment to reschedule it.
- Resource clash checks. Two appointments can't be booked on the same chair or room at the same time.
- Follow-up cadence. For courses of treatment, set the next visit to repeat every N days so follow-ups aren't forgotten.
- Practitioner on every appointment, so reports show who saw whom.
To be clear about limits: there is no week grid view, and repeat bookings are a follow-up cadence rather than a fixed recurring series. If your business runs on weekly recurring classes, a class-booking tool will suit you better.
Reminders that cut the no-show chase
Reminders are sent as WhatsApp templates from your own WhatsApp Business Platform number (through Meta's Cloud API or Twilio), or by email. Meta charges a small per-message fee for WhatsApp templates, billed by Meta or your provider, roughly ₹0.12 per utility message in India by third-party estimates. JBMOnboard360 does not send SMS. Our WhatsApp reminder guide has template wording that Meta approves as utility.
Choosing
Which kind of booking tool do you need?
| Your situation | What fits |
|---|---|
| Solo practitioner, just wants a booking link | A free scheduling link (Google Calendar booking pages, Calendly) may be enough |
| Fitness studio with weekly classes and memberships | A class-booking tool with recurring schedules |
| Clinic or salon that wants bookings, client records, packages and GST invoices together | JBMOnboard360 |
| Clinic that needs ABDM-linked prescriptions and EMR | A clinical EMR; JBMOnboard360 is not an EMR |
| Several branches, enquiries arriving on WhatsApp | JBMOnboard360, with branches and the WhatsApp inbox |
Setup
Setting up online booking in an afternoon
- List your services with prices. Clients see the service name and price on the booking page, so use names they understand ("Knee physiotherapy, first visit" rather than an internal code).
- Add rooms, chairs or beds as resources so the calendar can stop double-booking.
- Decide who approves requests and how quickly. A request answered within an hour feels like instant booking to most clients.
- Add an opt-in line for WhatsApp updates to your booking and intake forms, naming your business.
- Turn on reminder automations with an approved utility template.
- Publish the link on Google, Instagram, your website and your WhatsApp auto-reply.
Price
What it costs
Online booking is part of JBMOnboard360 Pro at ₹1,999 per user per month billed annually (₹2,499 monthly), plus 18% GST. The booking page itself doesn't need a licence: you pay for staff who log in, not for clients who book. A clinic with a receptionist and two practitioners on annual billing pays ₹5,997 a month before GST. Start with the 7-day free trial.
Questions
Online booking questions
Do clients need to download an app to book?
No. The booking page opens in any phone browser from a link.
Can clients pay online when they book?
Not through the booking page. Bookings are confirmed by your team, and payment is recorded against the GST invoice when the client visits.
Can a client book the same slot twice?
No. A slot that is already requested or booked can't be requested again, and a chair or room can't be double-booked on the calendar.
Can I put the booking link on Google and Instagram?
Yes. It's a normal web link, so it works in your Google Business Profile, Instagram bio, website and WhatsApp replies.
Does it send SMS confirmations?
No. JBMOnboard360 sends WhatsApp and email messages.
