Appointment reminders

WhatsApp appointment reminders that go out on their own.

Most no-shows aren't people who changed their mind; they forgot. A WhatsApp reminder the day before fixes much of that, but only if someone sends it every day. In JBMOnboard360, reminders and after-visit messages are automations tied to the appointment calendar, sent as Meta-approved templates from your own WhatsApp number.

The rules first

Three WhatsApp rules every reminder has to follow

1. Reminders must be templates

WhatsApp lets a business send free-form text only within 24 hours of the customer's last message. A reminder for an appointment booked a week ago is usually outside that window, so it has to be a template: a message you write once, submit to Meta for approval, and then send with the details filled in (name, date, time, branch).

2. Keep reminders in the utility category

Meta sorts templates into marketing, utility and authentication. An appointment reminder is utility: it is about something the person already booked. Utility messages cost far less than marketing in India (roughly ₹0.12 against ₹0.86 per message by third-party estimates). Add "Get 20% off your next facial!" to the reminder and Meta may categorise it as marketing instead. Keep offers out of reminders.

3. Get opt-in

Meta requires that people opt in to receive messages from your business, and that you name your business when you ask. The simplest place is your booking page or intake form: a line such as "I agree to receive appointment updates from Sri Physio Care on WhatsApp." Record it, and honour opt-outs.

Placeholders in double braces are filled in automatically. Submit your version to Meta under the utility category.

Day-before reminder

Hi {{1}}, this is a reminder of your appointment at {{2}} tomorrow, {{3}} at {{4}}. Please arrive 10 minutes early. Reply to this message if you need to reschedule.

Same-day reminder

Hi {{1}}, see you today at {{2}} at our {{3}} branch. Address and map: {{4}}

Booking confirmation

Hi {{1}}, your {{2}} is confirmed for {{3}} at {{4}}. Reply to this message if anything changes.

After-visit check-in

Hi {{1}}, thank you for visiting {{2}} today. If you have any questions about your session, reply here and our team will get back to you.

Package session due

Hi {{1}}, you have {{2}} sessions remaining in your {{3}} package. Reply to book your next one.

Missed appointment

Hi {{1}}, we missed you at {{2}} today. Reply to this message and we'll find another time that suits you.

Meta decides the final category during review. Messages to patients should stay administrative: no diagnoses, results or treatment details on WhatsApp.

Timing

When to send reminders

  • At booking: a confirmation, so the client has the date in their chat.
  • The day before, early evening: late enough to be remembered, early enough to reschedule and free the slot.
  • Two to three hours before for morning-busy services such as salons, or for clients who missed before.
  • After the visit: a check-in or a "your next session is due" message for package and course clients.

Two reminders is usually enough. Each extra message is a charged template, and too many make people mute you.

How it works in JBMOnboard360

  1. Connect your WhatsApp number through Meta's Cloud API or Twilio, and sync or create your templates from inside JBMOnboard360.
  2. Set up an automation with a "before appointment" trigger and the template to send, and a "post appointment" one for the after-visit message.
  3. Book as usual. Appointments created by staff or approved from your online booking page get reminders without anyone touching them.
  4. Replies land in the shared inbox. When a client replies "can I come at 5 instead?", that opens the 24-hour window and your team (or the AI assistant) answers there.
  5. Send one manually when you need to. Each appointment also has a reminder button for one-off cases.

Automations can also send by email for clients who prefer it. JBMOnboard360 does not send SMS.

Questions

WhatsApp reminder questions

Can I send appointment reminders from the WhatsApp Business app?

Only by hand, one at a time. Automatic reminders need the WhatsApp Business Platform (API), which JBMOnboard360 connects to through Meta's Cloud API or Twilio.

Do reminders need Meta's approval?

Yes. Reminders are sent as templates, and each template is reviewed and categorised by Meta before you can use it.

Will reminders reduce no-shows?

Reminders help people remember and make rescheduling easy, which is why clinics use them. How much they change your no-show rate depends on your clients and services; track it in your own reports for a month before and after.

Can I include the doctor's notes or test results?

No. Keep reminders administrative. Clinical details belong in the client record, not in a chat app.

Can JBMOnboard360 send SMS reminders?

No. Reminders go by WhatsApp or email.
